A staff list is sensitive: names, salaries, national IDs. The fewer places it can be read from, the better. It arrives by email, is turned into a dated version, and only the people who need it can see any of it — and even they see counts and changes, never the whole list.
Send the list in the format we agreed, once a month, to the address your Rafiki contact gave you. It is the single most important thing you do for this programme.
Your list is where three of the five things we score come from: that someone works for you, what they take home, and how long they have been with you. A staff member who is not on the current list cannot be assessed on your payroll — they are not refused, but they have to prove those things another way, which is slower.
A list that gets too old stops being usable and lending against it pauses until a new one arrives. Nobody has to ask you — it simply lapses. Sending it on the same day each month avoids this entirely.
The file is read automatically, so the columns must match. If a column is missing or renamed, the whole file is rejected rather than half-read — we would rather stop than guess at somebody's salary.
If your payroll system genuinely cannot produce that shape, say so rather than improvising: a person at our end will normalise it once and we will agree a stable format from then on.
Each list becomes a numbered version. Nothing is ever edited in place — a correction becomes a new version and the old one is kept, so a decision made last month can still be explained against the list that was true last month.
A Credit Officer reviews what changed against the last approved version: who joined, who left, whose salary moved. They see only the changes, with employment numbers masked.
Joiners can wait for the next monthly list. There is no need to tell us separately.
Tell us when someone with a live plan leaves, as soon as you know. Their agreement is with Smart Rafiki and continues after they go — we need to arrange another way for them to pay. Telling us late is the main way this goes wrong for the person who left.

If a deduction arrangement has been discussed with you, treat it as not yet in place. It is not built and no deduction is being taken. Every plan has its own repayment method that does not depend on you.
